Working as part of the Project Management team, you will assist the Project Managers with guiding construction projects from development, design, estimating and bidding, through to completion, occupancy and the warranty period, while ensuring project documentation is organized and information flows throughout the project team efficiently.

As a Project Coordinator, you will play a key role in our success as you:
- Follow and consistently demonstrate our company’s Core Values.
- Provide contract administration for assigned projects, quantity take-offs and estimating tasks to assist in generating project budgets and to confirm validity of extras and draws, and handling of project information flow between all stakeholders.
- Track entries for NOC lists, change order lists, and back-charge lists.
- Oversee and monitor postings, process trade draws and prepare progress draw reports.
- Assist Project Managers in validating draw requests and requests for extras.
- Track and process holdback releases, back-charges, deposits and bonds.
- Process, track, coordinate, review and distribute shop drawings.
- Process and track SIs and RFIs to and from consultants, and distribute and communicate with/to affected trades/job sites.
- Prepare trade contracts.
- Track and process completed trade contracts.
- Schedule, attend and minute project turnover meetings from estimating to construction team.
- Prepare quantity take-offs, validate extras and back-charges.
- Track document distribution and monitor deadlines.
- Process project-specific insurance requirements.
- Update stakeholders of project delays and schedule revisions and assist Project Managers in resolving scheduling issues.
- Issue scheduling updates and baseline tracking.
- Schedule and attend start-up, project, site and budget meetings and take minutes.
- Prepare meeting minutes and distribute to trades, consultants, clients and internal team members, where applicable.
- Identify task assignments in meeting minutes.
- Ensure field office documentation is current – drawings, SIs, changes issued by consultants, addenda, Health & Safety documents, contact lists, etc.
- Coordinate with field staff for timely submission of receipts (packing slips and VISA receipts), field authorizations, time sheets, red line drawings, etc.
- Assist other team members with overflow workloads as may be required from time to time.
- Other tasks and responsibilities as may be assigned.
As a Project Coordinator, you will apply your:

- Construction-related degree or diploma from an accredited college or university.
- Previous experience in a similar role.
- Accuracy in duties and responsibilities.
- Proficiency in MS Office applications (i.e. Word, Excel, Project, Outlook, etc.).
- Attention to detail and ability to multi-task.
- Motivation, integrity and positive attitude.
- Excellent interpersonal and communication skills (both verbal and written).
- Excellent computer and organizational skills.
- Positive working relationships with coworkers / contacts.
- Ability to work well independently and as part of a team.
- Flexibility to adjust core working hours as required.
- Valid Class G driver’s license and clean driver’s abstract.
- Proof of full COVID-19 vaccination.
