HR Assistant
We are looking for a dedicated, well-spoken HR Assistant to join our Swim Time Team. The responsibilities of the HR Assistant include helping new hires learn the company policies, interviewing, scheduling, gathering the necessary paperwork and data entry for payroll.
To be a successful HR Assistant at Swim Time, you should have a good working knowledge of current pool and labour regulations, payroll systems, and best recruiting practices. Ultimately, a top-notch onboarding specialist should be a great communicator with a flair for interacting with new people.
Onboarding (10%)
- Development and implementation of recruitment strategies.
- Interviewing and hire candidates.
- Emailing new hires with details about the company, including shift requests, work schedules, and training dates.
- Welcoming new hires with prepared onboarding kits and facility tours.
- Introducing new hires to their team members and reviewing policies, manuals, guidelines, and passwords.
- Answering any new hire queries.
- Updating/Revision of new hire onboarding kits as needed.
- Gathering and filing all paperwork related to new hires, including contracts, code of conducts, and police checks.
Scheduling (40%)
- Prepare and distribute shift requests to staff each session
- Develop session schedules to ensure each pool is fully staffed during program
- Email shift confirmations to all staff and arrange contract signing dates
- Confirm staff attendance to training, make up dates and regular shifts.
- Arrange coverage for absent staff & communicate with offices of any changes.
- Organizing recertifications for staff and overseeing registration for courses to ensure staff qualifications are up-to-date
Payroll Administration (50%)
- Overseeing logsheet and staff attendance collection from all locations.
- Record and check all employee hours for accuracy on a daily basis
- Preparing payroll for the management team on a bi-weekly basis.
- Ensuring new employee information and any changes to current employee information is submitted in a timely manner.
- Analyze bonus requirements and prepare reports for management.
Requirements:
- Experience in a similar role and/or equivalent education
- Background in aquatics environment (Current Lifesaving Instructor and National Lifeguard Award recommended)
- Experience with MS Office, resume databases & recruitment sites
- Good working knowledge of labor and pool legislation.
- The ability to work with sensitive and confidential information.
- Excellent verbal and written communication skills.
- Strong teamwork skills.
- Good organizational and time management skills.
- Attention for detail and accuracy
- Able to travel to Whitby, Pickering, Thornhill & Woodbridge
- Flexible Schedule
- Willing to provide vulnerable sector police check

We offer small class sizes, well-trained instructors, warm salt water, Lifesaving Society programs and make-up classes at four different locations across the GTA.
