HR Administrative Assistant Job at York University
Purpose:
The Administrative Assistant supports the Manager, HR Administrative Services by:
Education:
University degree or the equivalent combination of post- secondary education and experience.
Experience:
Minimum of two years' recent, relevant experience, e.g., coordinating activities, scheduling, administrative support, etc., preferably in a university or highly complex public sector environment.
Skills:
Excellent communication skills, both oral and written. Excellent proofreading skills and Scrupulous attention to detail. Strong interpersonal skills and ability to act with discretion tact and diplomacy and to maintain confidentiality. Ability to work independently, as well as in a team environment. Ability to prioritize effectively and meet numerous competing time demands and deadlines and work effectively under pressure. Experience and proficiency with all computer applications used in the University (Word, Excel, Access, PowerPoint, Visio, Teams, Zoom, OneDrive, Doodle, e-mail, wordpress etc.). Ability to adapt to change and learn new applications. Understanding of and belief in the advancement of customer service based on best practices, communication, and collaboration.Knowledge of and demonstrated commitment to the principles of equity, diversity, and inclusion.
Additional Notes:
Office environment. Monday to Friday half days (24 hours per week). Some additional hours (full day, evening and/or weekend work) may be required during times of high volume. May have to deal with competing time demands and handling time sensitive materials. Handling highly sensitive & confidential material. Worksite is a two-story building with elevator access to second floor. Occasional travel throughout the university will be required, usually involving pick-up and delivery of critical supplies and correspondence between departments or on behalf of operational units. Necessary equipment (laptop, monitors, keyboard, mouse) will be provided. Regular office hours apply. Desk work & frequent communication via Microsoft Teams, Zoom & email.
The Administrative Assistant supports the Manager, HR Administrative Services by:
- providing efficient, professional, and confidential administrative support to the AVP HR and direct admin support to HRLT members
- providing reception coverage
- providing support related to maintenance and accessibility of Kinsmen Building
- providing support related to the effective operation of the Office of the AVP, records management, Department equipment and furniture.Daily activities involve interaction with HR management and staff which may involve exposure to sensitive and confidential information requiring considerable tact, discretion, and judgment. In addition, the Administrative Assistant will provide back-up support to the Manager, HR Administrative Services during short term absences.
