Role Summary
The Intermediate Project Coordinator role focuses on assisting with day-to-day coordination, organization and alterations of project-related activities, technologies, and documentation. Majority of the day-to-day work is done at the office and requires high levels of engagement with team members and occasionally external stakeholders. This role blends traditional project coordination with technical and project-specific tasks based on the team needs.
Duties and Responsibilities
- Perform analysis of data and information through comparison, audits and clean-up using various platforms (e.g. GIS Data, Excel, project management info);
- Develop, maintain, and drive the schedule in conjunction with project management, ensures project milestones and completion dates are met;
- Oversee project reporting that accurately tracks progress, events, budget, quality, inspections and other relevant information;
- Follow up and ensure adherence to service level agreements (SLA) turnaround times and client requirements;
- Daily coordination and communication of project updates to team members;
- Develop, track, and maintenance of metrics for each phase of the project;
- Assist with and leads project meetings with internal and external stakeholders to monitor and support the project’s ongoing progression, provide scope updates, and manage expectations;
- Provide instruction, guidance and information to project team members;
- Coordinate, gather and complete any compliance documentation or applications for the team to complete work (e.g. permits, One Calls, land base requests, contractor acquisition and GIS information);
- Demonstrate leadership in health, safety and environmental protection on the project;
- Create quotes for clients for project scope;
- Perform site inspection as required to ensure scope, quality, and schedule of work adhere to our client standards;
- Research, interpret and educate on client-specific rules and regulations surrounding assets or projects;
- Create resources and tools to be used by the team (e.g. dashboards, reports, web maps, etc.);
- Deliver completed projects to clients, including presentation of the findings;
- Use technology to streamline and submit information to internal and external clients (e.g. Excel reports, run scripts, SQL queries, project management tools, etc.);
- Research and develop new processes and technology;
- Uphold and promote adherence to Training, Operating and Health & Safety Procedures;
- Other duties as required.
Experience, Knowledge, Skills and Abilities:
- 3-5 years of experience in project coordination or telecom-related work. (telecom experience expected);
- PMP, MBA, P.Eng, P.L., PTech, AScT, CET, CTech designations (not required, consideration for advancement to this position) or equivalent combination of experience and training;
- Intermediate cross-functional ability in both technical and delivery/coordination skill sets.
- Intermediate understanding and application of industry specifications and standards;
- Experience working with Google Suite (Gmail, Google Meet, Google Sheets, Google Drive) or equivalent Microsoft apps;
- Displayed knowledge & skills or equivalent expertise of an intermediate level;
- Experience creating intermediate-level dashboards, reports, and summaries for external clients;
- Experience creating, tracking and maintaining project-related metrics and KPIs;
- Proficient in project management software tasks and functions at an intermediate level;
- Can independently run the tasks and operations of a small to medium-sized team;
- Propose strategies to avoid duplication of work, minimize processing times, and reduce cost;
- Propose, document, and maintain continual process improvements to internal standard operating procedures and forms and training guides;
- Able to guide teams to deliver on quality and scheduling goals;
- Highly organized, time conscious and focused on results;
- Ability to manage multiple, ongoing projects and provide weekly status updates;
- Strong problem-solving skills and the ability to think things through to arrive at a solution;
- Ability to work efficiently on time-sensitive projects with changing deliverables and priorities;
- Team player with well-developed interpersonal skills who is comfortable in a cross-functional, diverse team environment;
- Courteous and amiable customer service approach to the public.
