About the Position

The purpose of this role is to provide high level executive administrative support to the Territorial Secretary for Mission.

KEY RESPONSIBILITIES:

SUPPORT SERVICES:

  • Manage the schedule and correspondence for the Secretary for Mission, anticipating needs and preparing responses;
  • Manage the calendar for the Secretary for Mission, and Assistant Secretary for Mission
  • Coordinate travel arrangements of the Secretary for Mission, and Assistant Secretary for Mission
  • Coordinate meeting logistics both in person and virtual, using Zoom or Teams
  • Prepare/circulate agendas and minutes, and attend meetings as needed
  • Process and track Mission Proposals using SharePoint and electronic filing systems to ensure proper approvals and signatures according to policy and delegation of authority
  • Create presentations, reports and documents using all Microsoft office applications
  • Distribute mail, both hardcopy and electronic
  • Assist with basic research for strategic planning
  • Assist with the development or editing of Mission policies to assure accuracy, best practices and compliance with organizational expectations
  • Maintain stationary supplies and maintain inventory of department equipment
  • Provide administrative support to the Assistant Secretary for Mission as needed

FINANCIAL SERVICES SUPPORT:

  • Process all department expenditures and Business World transactions including TEM/Agresso invoices, VISA bills, Elements statements, and Ultipro.
  • Receive annual budget submissions from all Mission departments, assessing compliance with territorial fiscal strategies and practices.
  • Assist with preparation of budget submissions and presentation to Budget Committee
  • Support department/section leads with operational matters pertaining to budgets throughout the year
  • Review and analyze monthly statements to assure budget and policy compliance and investigate discrepancies
  • Monitor department expenditures and liaise with finance department as necessary

STAFF PROCESSES:

  • Prepare files for annual performance appraisals of all staff reporting to Secretary for Mission
  • Prepare agendas for all direct report meetings
  • Provide support to other administrative staff related to team building initiatives
  • Organize and track staff development opportunities for all staff
  • Coordinate merit increase process for all staff

COORDINATE PROJECTS UNDERTAKEN BY MISSION DEPARTMENT:

  • Compile and synthesize large volumes of data, conducting research, and preparing reports as needed
  • Develop and participate in communication strategies
  • Manage confidential information appropriately and professionally
  • Liaison with both internal and external stakeholders
  • Assure project timelines and deadlines are met
  • Provide support for Regional Integration Forums and Communities of Practice
  • Publish information, upon approval of executive administration
  • Prepare written project updates for Boards and Committees

SPECIAL EVENTS:

  • Plan and coordinate Special Events such as Conferences, Leader Summits and Symposiums
  • Negotiate contract venues for all Mission sponsored events and partner with external vendors when making arrangements for meetings or gatherings
  • Maintain contracts for special events (e.g. rental, AV, etc.)
  • Create print material to promote events including brochures etc.
  • Assist with logistics at special events and meetings when required, with flexibility to travel
  • Maintain project database for special events
  • Other duties as assigned

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Post secondary diploma in office administration related discipline preferred
  • A combination of education and 5 years administrative experience may be considered
  • 5 years experience working in executive office administration
  • Proficient in Microsoft Office 365 (Word, Excel, PowerPoint) and able to learn new and ongoing software systems with ease.
  • Experience with organizing special events, team meetings, etc.

Compensation

The target hiring range for this position is $48,178 to $62,085 with the ability to progress to a maximum of $74,503. Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
