Executive Assistant to the Director of Lands & Natural Governance Job at Leq'a:mel First Nation
About the Position
This position provides high level administrative support to the Director of Lands & Natural Resources Governance, and to the Department as a whole, in all administrative matters, including scheduling, communications, expense tracking, records management, event organization, booking facilities, travel and accommodations, meeting preparation and coordination, work planning, community engagement and more. The assistant will aid the
Director and Departmental staff by taking on key administrative tasks.
KEY RESPONSIBILITIES
Administrative Support to Leq’á:mel Lands & Natural Resources Department
- Provides administrative and office management support to the Director of Lands and Natural Resources Governance, including but not limited to the following:
o Handles bookings for meetings and events
o Submitting equipment orders, catering and other items and services for the Department
o Assisting with communication materials, including creating and distributing flyers and other notices
o Completes expense reports, pays invoices, reconciling credit card receipts, and handles other monetary duties as required
o Receives incoming communication (email, phone calls) and evaluates and distributes all incoming correspondence requiring priority attention, as directed by the Director
o Other clerical duties
- Helps coordinate logistical aspects of Lands and Natural Resource Department events, including formal gatherings, committee meetings, community events, and inter- governmental meetings as needed, including:
o sourcing and booking venues, contractors, and caterers
o creating contact/invitee lists, event flyers, and social media posts o preparing agendas, sourcing equipment, arranging speakers, exhibitors, presentations, etc.
o other event related communication and administration
- Helps manage all invoicing, honoraria forms, travel reimbursement forms for department staff, committee members and on-call community member contracts.
- Assists in booking travel (transportation and accommodation) for department staff, assists in scheduling and coordinating Department attendance at various Lands & Natural
Resource-related meetings.
- Keeps a record of invoicing, department costs, and maintains detailed and accurate files, and provides necessary paperwork to the Director.
- Helps ensure a positive service delivery to Leq’á:mel members, leadership, residents, vendors and contractors.
- Performs other duties as necessary.
KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge and respect of Leq’á:mel First Nation’s social structure, traditions, values, culture, traditional territory, resources, protocols, and policies.
- Knowledge of general office and administrative procedures.
- Knowledge of Leq’á:mel Lands and Natural Resources Department, initiatives, challenges and needs.
- Very strong organizational, planning, and problem-solving skills.
- Organized and assertive personality.
- Excellent communication (verbally and written) and interpersonal skills.
- Willing to take initiative, work independently while remaining accountable to work plan priorities, working as part of a team.
- Demonstrated ability to build and maintain strong relationships both internally and externally.
- Resourceful and innovative with strong research skills.
- Intermediate proficiency with computers, MS Office (Word, Excel, Outlook, and
PowerPoint).
TRAINING, EDUCATION, AND EXPERIENCE
- Previous experience working in a First Nation is an asset, and/or in a busy office environment.
- Experience working in an administrative support capacity is strongly desired.
- Experience with computer programs, including Microsoft Office Suite (Word and Excel),
Adobe Indesign, is preferred. Training is available.
- A Valid Class 5 Drivers' license is required.
