Administrative & Constituency Assistant

Major Responsibilities

Working with the City Councillor and reporting directly to her Executive Assistant, the successful candidate will be responsible for a range of communications and outreach work in a fast paced political environment.

Job Duties

  • Regularly update, monitor and manage social media accounts
  • Update and maintain the Councillor’s website, including content development
  • Prepare communication material including electronic newsletters, print newsletters, meeting notices, advertisements and media releases
  • Draft speaking notes and briefing materials for the Councillor
  • Develop and implement office Social Media strategy to increase online presence and engagement
  • Liaise and maintain positive working relationships with City staff, community groups and other stakeholders
  • Represent the Councillor at meetings and events
  • Maintain confidentiality of personal and sensitive information
  • Undertake special assignments and projects as requested

Qualifications and Skills

  • Post-secondary education in Communications or Public Relations or an equivalent combination of education and experience.
  • 2-3 years of experience in communications
  • Demonstrated ability to develop strong working relationships with individuals and organizations
  • Exceptional communication and problem-solving skills
  • Ability to work quickly and effectively under pressure, set priorities, and meet deadlines
  • Strategic and creative thinker
  • Solutions-focused with the ability to take initiative, be resourceful, proactive and manage multiple projects
  • Ability to work independently and collaboratively
  • Intermediate skills in graphic design and significant experience using social media platforms including Facebook, Twitter, and Instagram
  • Experience in web design and management software (proficiency using Wix is an asset)
  • Experience in media relations
  • Ability to work flexible hours which may include some evenings and weekends
  • Experience in a political office and knowledge of York South-Weston issues and communities, as well as broader municipal issues are an asset
  • Fluency in a second language is an asset
